The usual situation

Five calendars, one decision

A decision is due and the next meeting is six weeks away. So somebody hunts for a slot that three people cannot make. What remains is an email thread in which nobody can say with certainty who was in favour of what, or whether the majority was reached.

Beschlussmanager replaces that thread with a procedure: one motion, one deadline, one vote per person, one outcome – documented as it happens, without anyone writing minutes afterwards.

Deadlines that run themselves

Reminders go to the people who have not voted yet, three days and 24 hours before the deadline. The resolution closes on its own.

Discussion by email reply

Questions arise where the invitation is: in the inbox. A reply to the notification becomes a comment on the resolution.

Committees and eligibility

Board, advisory board, working group – each with its own circle. Who may vote is decided per resolution, not per spreadsheet.

Common questions

Do voters need an account?

Eligible voters are members of your organisation and do have an account there – created by your administrators, through single sign-on or automatically via SCIM. They do not need to sign in to vote, though: they receive a personal link by email and vote in one click. The link is one of several ways in; anyone who prefers can sign in instead.

Is a resolution passed by email valid?

That depends on your statutes and the law that applies to your legal form, not on the software. Many statutes explicitly allow resolutions without a meeting. Beschlussmanager runs the procedure and documents it; whether it holds in your case is a legal question, and we do not give legal advice.

Where is our data stored?

On servers in Germany, with a German provider. There is no transfer to third countries and no US company in the chain. A data processing agreement under Article 28 GDPR is available.

Which majorities can Beschlussmanager handle?

Simple majority, supermajority with any threshold above 50 per cent – two thirds and three quarters being the usual ones – and unanimity. Each can be combined with a quorum, a minimum level of participation.

Can we connect Beschlussmanager to our directory?

Yes. Single sign-on works through OpenID Connect, tested with Microsoft Entra ID. Accounts can be created and deactivated automatically through SCIM 2.0. There is also a REST API.

How do we get access?

Through the form “Request an organisation”. There is deliberately no self-service sign-up: we create the organisation, set up the first account and get back to you within one working day.
